Virtual Playing Meeting Instructions
If you are new to virtual playing meetings, these instructions should help you get started. If you need more technical assistance, please contact us as soon as possible. Please understand that BCRS is entirely volunteer run and there may not be someone available to assist you at the last minute.
The Music
The music for the playing meeting is posted to our Dropbox as soon as it is available, usually a week or so before the meeting. You access it by clicking on the name of the month on the Monthly Meetings page. Once you are in the Dropbox for the appropriate month there are two folders, one for Prelude (Intermediate I & II), and one for Concerto (Intermediate III & IV). Click on the link appropriate to your level (or both if you feel so inclined) and print the music.
Zoom
Our virtual meetings are conducted over Zoom. If you do not have Zoom, you need to download it before the meeting. Zoom is available for all platforms.
Your Invitation
You must register for each meeting in order to receive a private, secure invitation. The deadline for registration is 7:00pm (1900h) PT the day before the meeting. Please note that we cannot accept late registrations.
Once registered, you will receive a short confirmation email. A second email is sent on the day of the playing meeting with a Zoom link in it. Just click on the link 15 minutes before the meeting starts. You are taken to a 'waiting room' and the meeting begins at 7pm when the leader is ready.

Please allow yourself ample time to get set up so you can be relaxed and enjoy the evening. We look forward to playing with you!

Setting up for the Meeting
- Try to have your music stand to the side of your monitor so you can see the leader conducting out of the corner of your eye.
- Ensure you have everything you need close at hand: music, instruments, water, etc.
- You may wish to wear headphones for better sound but this is not necessary.
- You must have Zoom muted on your end; the leader is able to do this automatically.
During the Meeting
- No one, not even the leader, is able to hear you unless the leader unmutes you or the group as a whole.
- You may use Zoom’s typed chat feature to ask questions.
- You may turn your camera off.
- You may attend either the Prelude or the Concerto parts of the meeting, or both.
- You may leave the meeting at any time.
- At the end of the evening, the Zoom meeting closes automatically; there is no need to do anything on your end.
